Monthly Shopify cost formula
Separate platform-related cost into fixed and variable portions:
Fixed cost = plan + apps + annual domain ÷ 12 + theme ÷ amortization months + other fixed cost
Variable cost = monthly revenue × (processing rate + third-party transaction rate) + orders × fixed per-order fee
Estimated monthly platform cost = fixed cost + variable cost
This is not a complete profit and loss statement. Product, warehousing, delivery, refunds, disputes, taxes, duties, advertising, and labor are outside the default calculator and still belong in the operating model. Affordability should be measured against contribution margin, not revenue.

What to enter
Monthly plan cost
Enter the effective monthly subscription shown for the store's region and billing cycle. Annual billing may collect a full year at once even when the interface displays an effective monthly amount. Use the Shopify plan comparison before choosing a scenario.
Domain and theme
Divide the annual domain charge by 12. A paid theme is not necessarily the final design expense: upgrades, compatibility work, and redesign can still occur. The calculator amortizes a one-time theme purchase over the months you select for internal comparison; it does not change when cash is actually paid.
Apps
Review trials that will renew, usage tiers based on orders or contacts, services billed outside Shopify, and subscriptions that remain active after an app is removed. Start with the minimum app set and export the bill monthly.
Processing rate and fixed charge
These usually come from the payment provider and can vary by card, transaction location, or currency. Enter a rate such as “2.9”, not “0.029”. Enter the fixed per-order charge in the same currency selected in the calculator.
Third-party transaction rate
When an external payment provider is used, Shopify may apply a separate third-party transaction charge. That is not the provider's processing fee. Confirm whether it applies through Shopify's third-party provider documentation, the current plan, and the account bill.
Compare Basic, Grow, and Advanced consistently
Save three scenarios rather than mixing plans in one calculation:
- keep revenue and order count constant;
- replace plan, processing, and third-party rates for each plan;
- keep app, domain, and theme assumptions constant;
- compare monthly total and cost per order;
- record the verified value of staff, reporting, or market features separately.
If transaction savings do not cover the additional subscription and no added feature solves a real bottleneck, the upgrade lacks a current financial case. If savings consistently exceed the difference, also evaluate the cash-flow effect of annual billing.
Three commonly missed costs
First, not every charge is returned after a refund. Second, cross-border cards, currency conversion, and disputes can sit outside the base rate. Third, an app can move to a higher tier when orders, contacts, or usage increase. A downside scenario can include a contingency, but the contingency is a planning assumption—not a Shopify rule.
